1. Introduction

1.1. Welcome to Car Hire Kathmandu Pvt. Ltd. By engaging our services, you agree to adhere to the following terms and conditions. Please ensure you read these terms carefully before confirming your reservation.

2. Reservation and Payment Procedures

2.1. All bookings must be initiated through our official website, authorized representatives, or directly at our office location. 2.2. To validate and secure your booking, the presentation of a valid government-issued identification document is mandatory. 2.3. Reservation confirmation necessitates either full payment or a partial deposit. The remaining balance must be settled in full before the commencement of the rental period. 2.4. We facilitate payments via cash, credit, and debit cards and various digital payment platforms.

3. Cancellation and Refund Policy

3.1. Cancellations made 30 days or more before the scheduled rental date are eligible for a complete refund of the amount paid. 3.2. For cancellations made within 15 days leading up to the rental date, a cancellation fee equivalent to 30% of the total booking value will be applicable. 3.3. Cancellations made within 3 days of the scheduled rental start time will not qualify for a refund. 3.4. Approved refunds will be processed within 7 to 10 working days from the date of cancellation.

4. Vehicle Use and Renter Responsibility

4.1. Operation of the rented vehicle is restricted solely to the individual(s) explicitly named and authorized within the rental agreement. 4.2. During the rental duration, the renter assumes full responsibility for all damages, fines, or penalties. 4.3. Unless explicitly stated otherwise in the agreement, vehicles are expected to be returned with a full tank of fuel, mirroring the condition at the commencement of the rental. 4.4. A strict prohibition is enforced against smoking, alcohol consumption, and the use of illegal substances within the vehicle.

5. Insurance Coverage and Liability

5.1. Basic insurance coverage is provided for all our vehicles. However, renters are strongly advised to purchase supplementary insurance for enhanced protection. 5.2. Car Hire Kathmandu Pvt. Ltd. disclaims any liability for loss, personal injury, or damage to personal property during the rental period. 5.3. Any accident or vehicle damage incident must be immediately reported to our dedicated support team.

6. Rental Period and Extensions

6.1. The agreed rental period is determined based on the itinerary requested or provided by the renter. 6.2. Rental extensions are contingent upon vehicle availability and require a request to be submitted no less than 12 hours before the scheduled initially rental end time. 6.3. Vehicles returned after the agreed return time will be subject to additional charges.

7. Driver and Passenger Conduct Regulations

7.1. It is mandatory for all vehicle occupants to use seat belts at all times when the vehicle is in motion. 7.2. The designated driver must adhere to all prevailing local traffic laws and regulations. 7.3. Car Hire Kathmandu Pvt. Ltd. retains the right to terminate the rental agreement unilaterally should the vehicle be utilized for unlawful activities or in a manner indicative of reckless driving.

8. Vehicle Breakdown and Emergency Support

8.1. In case of a vehicle malfunction or breakdown, immediate assistance is accessible through our 24/7 emergency helpline. 8.2. Should a vehicle be deemed irreparable at the breakdown location, a replacement vehicle will be arranged, subject to current availability.

9. Privacy Policy Statement

9.1. Personal information furnished during the booking process will be securely maintained and exclusively used for purposes directly related to service provision. 9.2. We strictly do not share customer data with external third parties without explicit prior consent.

10. Governing Legal Framework

10.1. The laws of Nepal legally govern these terms and conditions. 10.2. Any disputes or disagreements arising from the rental agreement will be exclusively adjudicated within the jurisdiction of the courts of Nepal.

11. Policy Modifications

11.1. Car Hire Kathmandu Pvt. Ltd. reserves the unqualified right to amend or revise these terms and conditions at any time without any obligation to provide prior notification.
